Whether employees or contractors, personnel are critical to operations. Accordingly, keeping accurate and up-to-date personnel records is important. With Skyward you can track personnel, view activity status, and monitor total pilot hours.
Personnel List Screen
All your personnel are listed on the personnel list screen. The list screen is available from the main navigation under Manage -> Personnel.
The list screen provides sortable fields of the personnel Name, Status, and Total Pilot Hours. Name is given last name first. Status is either Active or Inactive. The names of Active personnel serve as links to the personnel detail screen, while Inactive personnel are presented in black font. You can toggle between active and inactive status using the person icon at the end of the row. And you can download a personal pilot report with the report icon.
You can invite new personnel to your organization by clicking on the Invite Personnel button in the upper right hand of the screen.
Steps to Add a Person to Your Organization
- Click on the Invite Personnel button from the list personnel screen
- Fill in at least the Name, Role, and Email address of the person you would like to invite to your organization. You can also add or update any of their other information at this time as well.
- Click “Send Invitation”
- The person will be immediately added to your organization.
- The invited person will receive a notification email from Skyward.
If the person already has a Skyward account, then they will have immediate access to your organization. If the person you invited does not have an existing Skyward account, they will receive log in instructions in the invitation email.
Remove Personnel Access
You can remove someone’s access to your organization from the personnel list screen as well. Simply click on the person icon at the end of the row. The person’s name will still be visible in the list but they will no longer have access to your organization nor will you be able to edit their information. However, they will still appear on any logged flights and their logged flight hours in your organization will count toward your total organization hours. However, their historical hours will not. Historical hours are hours that you have logged pre-Skyward and would like to transfer to Skyward.
Finally, you can reinstate someone in your personnel list at any time by selecting Reinstate in the three dot menu.
Personnel Detail
You can add new information or update existing information in the personnel detail screen. Navigate to the personnel detail screen by clicking on the desired person name in the personnel list.
The personnel detail screen comprises an information panel on the left side panel, and roles, custom fields, notes, and documents in the body of the screen.
For heightened user privacy, non-admin users can only access their own detailed personnel record. Org admins have full access to all user information.

You can now enter remote pilot certification expiration dates for each pilot. Under Manage > Personnel, select a pilot and edit their profile.
Total Pilot Hours
Total hours comprises logged flight hours and historical hours.
Historical hours
Historical hours are used for transferring hours into Skyward that were logged someplace else.
Contact Information
This information is used for NOTAM submission. If you are a Professional Plus user, please be sure to add the contact phone and address for your pilots.
